Post-receipt information clarification—not a returns or clinical-release procedure

What should you record when an articulating paper delivery does not match the order information?

Short answer

Compare the confirmed order record with the information actually present on the received item, and record the specific difference without guessing its cause. Keep model identity, order units, package contents and quantity in separate fields. Ask the supplier to clarify the relationship in writing. This communication framework does not establish a defect, counterfeit status, fitness for clinical use, acceptance criteria or a right to return the goods.

Describe the difference before deciding what it means

A receiving query might concern a different model reference, an unclear package unit or a quantity that does not reconcile with the order. Start by stating which field differs. “The package reference is different from the confirmed line” is more specific than declaring the entire product incorrect without explaining the observation.

Keep the observation separate from possible explanations. A change in printed wording does not, by itself, prove a change in material, a counterfeit item, a quality failure or an acceptable substitute. Likewise, a familiar-looking package does not resolve an unclear model relationship.

This guide concerns information recorded after receipt. It is not the pre-purchase reorder check, a transport-claims procedure or a clinical product-release protocol.

Build an order-to-item comparison record

On small screens, scroll the table horizontally to compare the same row.

Field Confirmed order record Received-item observation Open question
Product or model reference Copy the actual confirmed reference Copy the visible reference exactly Do these records refer to the same confirmed item?
Order unit Preserve the wording used in the agreement Describe the package unit as observed What quantity relationship was agreed for this model?
Quantity Record the quantity and its unit Record the observed quantity and its unit Are both figures using the same unit?
Package information Use the information applicable to this order Transcribe relevant wording without changing it Which current model-specific information applies?
Record version Keep the date or version where supplied Identify the accompanying information, if any Is there an unresolved document-version difference?

This table is an information-organizing tool, not a test result or order confirmation. See the source and scope note.

The table is a suggested communication aid, not an ASHUR inspection form. It does not prescribe a sampling plan, examination method, opening procedure or acceptance threshold. Follow applicable organizational procedures and product-specific information; do not treat completion of this table as clearance for clinical use.

Do not repair a quantity mismatch with an assumed conversion

An order quantity and a received quantity are not comparable until their units are clear. If the order names boxes and another record names packs or individual pieces, use only the quantity relationship actually confirmed for the exact product. Do not borrow a package quantity from a different model or brand.

If the relationship is missing, record it as an open question. The absence of a confirmed conversion is not evidence that a shipment is short, and a guessed conversion is not evidence that it is complete.

Keep a useful record without oversharing

Retain the relevant order reference, the original product wording, the specific observation and the supplier's clarification together. If a photograph is appropriate for the inquiry, show the relevant product information rather than unrelated documents. Do not alter the wording you are asking the supplier to explain.

Before sharing a copy, remove unrelated personal or confidential information such as patient records or other customers' details. Ask which channel is appropriate if the necessary record contains sensitive information. This is a communication precaution, not an instruction to upload documents to a general form.

No numbering pattern, lot-traceability system or authentication service is asserted for ASHUR by this article.

An inquiry that keeps observation and resolution separate

You can write:

Please compare the confirmed order reference with the received-item information described below. The unresolved field is [field name]. The order records [exact wording]; the received item shows [exact wording]. Please explain the product/model and unit relationship and identify the applicable current information. I have not assumed an equivalent model, a quantity conversion or a resolution.

The brackets are fields for the sender's genuine records, not example model numbers or evidence of a real complaint. Do not send patient-identifiable information.

An answer that explains the discrepancy and an agreed commercial remedy are separate records. This guide does not promise a refund, replacement, response time, warranty outcome or a particular complaints process. Ask which terms and next steps apply to the specific transaction.

What remains outside this guide?

This record cannot decide whether a product is safe, suitable for a patient, authentic, compliant with a market's requirements or clinically equivalent to another product. It also does not verify an ASHUR package quantity, available SKU, storage requirement, expiry date or quality result.

Where the question requires product-specific documentation or qualified review, the commercial exchange should identify that need rather than replace it with a visual guess.

Clarify the specific information

For a transaction-specific clarification, provide non-sensitive order and item wording. Do not send patient or unrelated confidential records.
